Privacy Policy

How sea-skysolutions collects, uses and protects your personal information, in line with the Protection of Personal Information Act, 2013 (POPIA).

1. Who we are

sea-skysolutions is a South African customs clearing and freight forwarding agency headquartered at 21st Floor, 222 Smith Street, Braamfontein, Johannesburg, 2001. For the purposes of POPIA, sea-skysolutions is the responsible party for the personal information described in this policy. 2. Information we collect

  • Quote and consultation requests: your name, company name, email address, phone number, and shipment details (origin, destination, cargo description, incoterms) that you submit through our website forms.
  • Clearance documentation: commercial invoices, packing lists, customs declarations, and permit records required to clear your cargo.
  • Communication records: emails, WhatsApp messages and call notes relating to your shipments.

3. How we use your information

  • To prepare quotes and respond to your enquiries.
  • To clear cargo through SARS, book freight with carriers, and arrange permits with ITAC, NRCS and other authorities.
  • To keep you updated on the status of your shipments.
  • To meet our legal obligations under the Customs & Excise Act and related South African trade legislation, which require us to retain customs records.

We do not sell or rent your personal information, and we do not use it for automated profiling or marketing without your consent.

4. Legal basis for processing

We process your information on the basis of your consent (when you submit a quote request), the performance of a contract (clearing and forwarding services you instruct us to provide), and compliance with legal obligations (customs and tax record-keeping requirements in South Africa).

5. Sharing with third parties

Your information is shared only with the operators and authorities necessary to move your cargo: SARS, shipping lines and airlines, border and permit authorities (ITAC, NRCS, Department of Agriculture), transport and warehousing partners on the SADC corridors we serve, and our secure technology providers. Each operator processes information only on our documented instructions and under a written agreement as required by POPIA.

6. Cross-border processing

Because we coordinate ocean, air and SADC road freight, some operators (such as carriers and border agencies) may process information outside South Africa. We ensure that any transfer of personal information across borders includes adequate protections as contemplated in section 72 of POPIA.

7. Security

We protect personal information with access controls, encrypted connections (HTTPS) for all form submissions, and restricted storage. Access is limited to the clearing and forwarding staff who need it to service your shipment. Despite these measures, no transmission over the internet can be guaranteed as fully secure; please do not send payment card details by email.

8. Retention

Quote enquiries that do not proceed are retained for 12 months. Customs declarations, invoices and related trade records are retained for the period required by the Customs & Excise Act and the Tax Administration Act (generally five years). We delete or de-identify personal information once the retention period ends.

9. Your rights under POPIA

You have the right to access the personal information we hold about you, to request correction or deletion of information that is inaccurate, irrelevant, outdated or unlawfully obtained, to object to the processing of your information, and to withdraw consent at any time where processing is based on consent. To exercise any of these rights, email info@sea-skysolutions.co.za. We will respond within a reasonable period and may ask you to verify your identity.

You may also lodge a complaint with the Information Regulator for South Africa.

10. Cookies and analytics

Our website uses only essential cookies needed for the site to function and to keep submitted forms secure. We do not currently use advertising, analytics or tracking cookies. See our Cookie Policy for details.
